CRM and data synchronization between Notion and an internal database

Replacing the team's existing Notion workflow would have created unnecessary friction, but duplicating customer and project information manually would quickly create inconsistencies.

The internal software needed its own relational model while staying aligned with the information the team was already maintaining in Notion.

Structured CRM data

I modeled clients, projects and their relationships in an internal database so the internal tools could connect customer information to simulations, pricing and quotes.

Notion synchronization

Notion pages were linked to their corresponding database records so client and project information could stay aligned across both systems.

Automatic updates and reconciliation

Webhook handling processed creates, updates, deletes and restores from Notion, while a full synchronization process could reconcile the two data stores when needed.

The team could continue using a familiar tool for customer and project management while the internal tools had the structured data it needed for its own workflows.

This avoided turning the internal software into a replacement for every existing tool and reduced the need to maintain the same client and project structure manually in two places.

I designed the data model and implemented the synchronization layer as part of CAPSolar’s internal software.

My work included the Notion API integration, webhook processing, record relationships, synchronization logic, soft deletion handling and the internal interfaces that consumed the synchronized data.
